RFID based Asset Tracking and Maintenance Management solution for a Telecom company

The company is a telecom services provider owning and managing many microwave communication towers scattered at multiple locations. Each site has many mechanical and electrical equipments and has a store that maintains inventory of various components and consumable items. The company was looking for a solution that will help them track all the assets in each site as well as handle the maintenance management activities related to those assets. They were also looking for a solution that will help them manage the inventory at each site. They were looking for a Mobile software solution that supports barcode and RFID tagged assets.

Problems Faced

  • The company faced many operational problems due to lack of visibility of the status of equipments and inventory at various locations. 

  • Additionally, they were losing many consumable items and not able to track the consumption of items. 

  • The maintenance team wanted to introduce a system for periodically inspecting the equipments and recording the observations.

  • Uptime and availability factor of many critical equipments were low. The company was facing frequent breakdown of many machines and electrical systems. They wanted to track all the maintenance management activities. They wanted features to create task orders for scheduling inspection and maintenance management functions and allocate the job to their maintenance crew.


Solution Offered 

XCELtracker RFID based asset tracking was offered for this project. XCELtracker maintains the database of all equipments and important assets that are present at various microwave site locations. Expensive equipments are RFID tagged while other assets are tagged with barcode labels. The system maintains the asset status as well as the physical location. The maintenance staff would scan the equipment using their handheld device with barcode and RFID readers.  Once the asset is scanned, it will show the complete details of the equipment. 

If user is performing any inspection on the equipment, observations made by the user can be entered in the mobile device. If any maintenance work is carried out, details of the work done can be entered in the device. System keeps track of the person who did the maintenance work and captures the time/date stamps when the work is done. The condition/status of the equipment can also be entered. Whenever any consumable items at  the site are used, they have to be entered in the handheld device. System keeps track of the quantity of items used and the purpose for which the items are used. The inventory database will  adjust automatically. 

The server application is a web based application. This application maintains the database of all assets and the inventory of items present in each site. The manager can create and schedule inspection and maintenance jobs and assign the task to one of the team members. The task information will be automatically dispatched to that field worker. The system  provides a dash board of all tasks and their completion status among other details. System generates various reports related to the asset status, inventory, inspection and maintenance management.
